Analytics and product telemetry

Esqase measures how firms use the app so we can find rough edges and improve the product. This page explains, in plain terms, what we record about your team's usage, what we deliberately never record, how session replay works, how we treat Do Not Track signals, and how to ask us to delete your analytics.

This is about product analytics, which is separate from the firm-wide activity history you see inside the app. For the timelines that track changes to your records, see Activity timelines and audit logs.

The short version

  • We record a curated set of usage events for firm staff, such as signing in, creating a matter, or sending an invoice.
  • We never record the contents of your work: no matter details, client names, document names or contents, notes, messages, email text, search terms, or form answers.
  • The public pages your clients use (booking, signing, intake forms, payments, and the client portal) stay anonymous. We do not identify your clients.
  • You do not have to turn anything on or off. Analytics runs quietly in the background and never blocks or slows your work.

What we record about staff usage

When you and your team use the dashboard, Esqase records a curated list of events that tell us how the app is being used. Examples include:

  • Signing in and signing out.
  • Completing onboarding or the Setup Guide.
  • Creating a matter, converting a lead, or sending an invoice.
  • Connecting an integration or inviting a member.

For each event we may record non-identifying details such as a record's type, a count, an amount, a currency, or a timestamp. So that we can understand how firms adopt Esqase, we associate your usage with your name, business email address, firm name, and firm location. This is the same identity you already use to sign in, and it goes no further than Esqase and PostHog, the one analytics provider we use.

We also record a small number of events on our servers rather than in your browser, for example when a subscription payment is confirmed or a document is fully signed. These are attributed to the responsible member of your firm.

What we never record

Product analytics is deliberately conservative. We do not automatically capture every click, and we keep the contents of your work out of analytics entirely. We never send:

  • Matter titles or matter details.
  • Client or contact names, email addresses, or phone numbers.
  • Document names or the contents of any document.
  • Note, comment, message, or email text.
  • Search terms or form answers.
  • Addresses.

Page addresses and titles are cleaned before they are recorded, so they never carry a record identifier or a piece of your content. In short, analytics measures how the app is used, never what is inside your matters.

Your clients stay anonymous

The pages your firm shares with clients, including booking links, signing links, intake forms, payment pages, and the client portal, do not identify the person using them. We do not collect a client's name, email, or phone number for analytics on those surfaces. Any measurement there is anonymous and is only about how the page itself performs.

Session replay

Session replay is a tool that can record how a page was used. In Esqase it is off by default. In the environments where we have expressly turned it on, every piece of text and every form input is fully masked, so a recording can never show client matters, documents, or the contents of your work. If it is ever enabled for a surface you use, it still follows the same rule: no content is captured.

Do Not Track

If your browser sends a Do Not Track or Global Privacy Control signal, we honor it. Esqase does not use advertising or cross-site tracking cookies and does not sell personal information, so there is nothing to opt out of in that respect, and we treat your session the same either way. You can also block or clear analytics cookies in your browser at any time without affecting any feature.

Asking us to delete your analytics

We keep product usage analytics only for as long as we need it to understand and improve Esqase. If you delete your account, or send us a verified deletion request, we delete the analytics associated with you.

We will verify who you are before we act on a request, and we respond within the timeframe required by the law that applies to you.
