Plans and billing

How does pricing work?

Plans are priced per user, and both tiers bill monthly or annually. Annual billing costs less per seat. Standard carries the practice management workspace, and Professional adds the personal injury practice suite. The cards above show the rates for your region.

What is on the Professional plan?

Professional adds the personal injury practice suite: medical records and bills, damages, claims and liens, the negotiation log, the settlement and disbursement statement, deadlines, and reports. It also comes with a business associate agreement, which your firm owner accepts inside Esqase. Accepting it makes two-factor authentication required for every member, and means push and email notifications no longer carry case details. Everything else is on both plans.

What happens if I move from Professional to Standard?

Nothing is deleted. Your personal injury records stay in your firm's account, and you can export them at any time from Settings > Billing. The module is hidden until you upgrade again, and the change takes effect at the end of the billing period you have paid for.

Is there a free trial?

Yes. Every firm gets one 14-day free trial. You choose a plan and enter a card at signup, you are not charged for the fourteen days, and the plan begins automatically when they are up.

What happens when my trial ends?

Pick a plan to keep working. Everything you set up during the trial, from matters to documents, stays exactly where you left it.

What does annual billing add?

A lower per-user rate on both tiers, and a landing page website for your firm. What sits in your workspace is set by the tier you pick, not by how often you are billed.

Can I cancel or switch plans?

Yes. You can cancel at any time, and you can move between monthly and annual billing, or between Standard and Professional, from your firm's subscription settings. An upgrade starts right away. A downgrade takes effect at the end of the billing period you have already paid for, or right away if you have not been billed yet.

Can I add users later?

Yes. Pricing is per user, so you can invite teammates whenever you like and keep your subscription in step with your team.

What about larger firms?

The Enterprise plan is built around your firm's needs, including integration with your own servers and dedicated onboarding. Contact sales for a quote.

Getting started

How long does setup take?

Most firms are working the same day. Create your firm, follow the in-app setup guide, and invite your team when you are ready.

Can I import my existing data?

Yes. The CSV import adds contacts and matters in bulk, mapping your own columns onto Esqase fields, and our team can help you plan a larger migration.

Can I connect my email and calendar?

Connect Gmail or Outlook to send email from your own address, sync events with Google or Outlook Calendar, and add Meet, Teams, or Zoom links to meetings.

Can I control what my team sees?

Yes. Every member has a role, and each role sets view, create, update, and delete permissions per area, so each person has exactly the access they need.

What support is included?

Support, the Help Center, and the product docs come with every plan. Enterprise adds dedicated onboarding.

Running your firm

How do conflict checks work?

The new-matter wizard screens the people and companies you are about to take on against everyone already in your records, before any work begins. The result is advisory: the judgment stays with the lawyer.

Can I bill many matters at once?

Batch invoicing gathers every matter with unbilled work into one screen, lets you review what to bill, and generates all the invoices in one step.

How do clients pay invoices?

Each invoice goes out with a secure payment link that opens in any browser, with no account to create, and online payments are recorded against the invoice.

Does it support trust accounting?

Yes. Operating and trust (IOLTA) accounts stay separate, each with a running balance and a full ledger, and the three-way reconciliation report compares the bank, your ledger, and the client balances.

Are eSignatures legally binding?

eSignatures in Esqase are designed to meet ESIGN and UETA requirements. Place fields on a PDF, send secure signing links, and the sealed copy files back to the matter with a certificate of completion.

Is there an audit trail?

Automatically. Every record keeps a timeline of who created, changed, or removed something and when, with no setup required.

Do you have an API?

Yes. The REST API lets your own systems read and write your firm's data using scoped API keys. See the developer docs to get started.

Security and your clients

Is my data secure?

Your data is encrypted in transit, with sensitive data encrypted at rest, on secure cloud infrastructure. Controls are mapped to leading security frameworks and monitored continuously, and processing is backed by a DPA.

Can I require two-factor auth?

Yes. Anyone can turn on 2FA for their own account, and a firm owner can require it for every member of the firm. On Professional, it becomes required for every member once your firm owner accepts the business associate agreement.

Do my clients need an account?

No. Clients book, fill forms, pay, and sign through secure links in their browser, with no portal password to manage.
