Conflict check
What does a conflict check screen?
Everyone involved in the matter, your clients and the other side alike, against your firm's existing records. Esqase looks at other matters, at company and employee links in your contacts, and at mentions of the name across leads, invoices, tasks, notes, and documents.
Where do I run a conflict check?
Wherever you take work on. You start it yourself from the new-lead dialog and the new-matter wizard, and it runs on its own when you open Conflict check on a matter or a lead, mark a lead as hired, or convert one to a matter.
Does a match mean I have to decline?
No. A check is advisory. It shows you the record behind each result, so the professional judgment stays where it belongs, with the lawyer.
Contacts
Who belongs in contacts?
Everyone the firm deals with, well beyond the ones paying you: clients, opposing parties, witnesses, experts, vendors, and the companies they belong to.
What are contact tags for?
Short color-coded labels that go firm-wide as soon as they are created, so every member can apply one and you can filter the whole directory by them.
Can I import an existing contact list?
Yes, in bulk from a CSV, which is the usual first step when a firm moves across from a spreadsheet or another system. The importer only creates new contacts, so it never merges into the ones you already have.
Matters
What is a matter?
A single case or engagement, and the record that tasks, documents, time entries, communications, and invoices all attach themselves to.
Can each practice area work differently?
Yes. Every practice area carries its own ordered stages, which become the lanes on the board, plus its own types for sub-classifying a case.
How is billing set on a matter?
Per matter, when you create it: hourly, flat rate, or contingency, with optional custom rates and a budget available on hourly work.
Tasks
Where do tasks live?
Usually on a matter, carrying a priority, a stage, and assignees. A lead's workflow can create one too, which becomes a normal task once the lead converts.
What does a task list save me?
Retyping the same checklist. It is a reusable bundle including sub-tasks and assignees, with a rule that turns the matter's open date into real start and due dates.
Can I bill time from a task?
Yes. Each row carries a record-time control, so the billable hour is logged against the work that produced it rather than reconstructed later.
Comments
Where can we leave comments?
On matters, contacts, leads, tasks, documents, and invoices. It is one thread with the same behavior everywhere: post a comment, reply to one, react to it, and mention a colleague with @ to notify them. On a matter and a contact it sits on the Overview tab, and on a lead on the page itself, in each case just above the activity timeline.
How is a comment different from chat?
A chat message is a quick question in a floating window. A comment belongs to the record it was left on, so the next person to open that matter finds it without being told to go looking, and it is still there when the person who wrote it has moved on.
Who can read and post one?
Reading a comment needs only view access to the record it sits on, so a member can follow a discussion they are not contributing to. Posting needs the access that lets you work on that record. You can edit and delete your own comments, and nobody else's.
Calendar
What appears on the calendar?
Every event your firm creates, every meeting a client books through a public booking page, and every task that carries a due date.
Does it sync with my own calendar?
With Google Calendar or Outlook Calendar, both ways. The connection is personal to each member rather than shared across the firm.
Can I add a video link to a meeting?
Yes. Connect Google Meet, Microsoft Teams, or Zoom, and a Generate link button appears on the event form for each one you have connected.
Documents
Is there a real editor, or just storage?
A real one. A built-in word processor with autosave, versions you save and restore by hand, media, and page setup, alongside the uploaded files it stores.
What do document placeholders do?
They mark the spots that change between copies, written as {{client_name}} or {{fee_amount}}. You fill in each value once and every matching spot updates, and the saved document keeps the tokens so it stays reusable.
How do I find a file months later?
Search reads the contents of your files as well as their names, and the same content-aware search runs firm-wide from a keyboard shortcut.
eSignature
What does a completed signature carry?
Esqase eSignatures are designed to meet ESIGN and UETA in the United States and Republic Act 8792 in the Philippines, and the consent disclosure each signer accepts is written for your firm's country. Every completed request produces a sealed PDF, a clean copy without the evidence markings, and a Certificate of Completion, and the signed file can be checked later against the fingerprint taken at completion.
Do signers need an Esqase account?
No. Each signer is emailed their own secure link, signs in a browser on a computer, tablet, or phone, and sees only the fields assigned to them.
Can I change a signature request after sending it?
You can move fields, add a signer, and save again, and anyone who has already signed keeps their signature. Cancel signing on one person to drop them, and start a fresh request when the terms themselves change.
Chat
What is chat for?
Real-time messages between colleagues, one-on-one or in a group, in floating windows beside whatever you were already reading. Send files, react to a message, and quote the one you are answering.
Can clients join a chat?
Yes. Your firm opens the conversation, the client reads and replies in the client portal, and a group can hold colleagues and clients at once. The client gets an email saying a message is waiting, and the message itself is never in it.
Should decisions live in chat?
No. Anything belonging to the case goes on the matter itself, as a comment, a note, or a communication log, where the next person on the file will find it.
Communication logs
What is a communication log?
A record of a single call or email exchange, filed on the matter, which together give a case a searchable history of who was contacted and when.
Whose email address do clients see?
Yours. Email sends through your own connected Gmail or Outlook account rather than a system address that looks like automation.
Do replies come back into Esqase?
Outlook replies thread back into the same record automatically. The Gmail connection is send-only, so you log those yourself.
Custom fields
What are custom fields for?
Capturing what Esqase does not ask for out of the box: a referral source, a court county, an insurer. Each field belongs to one category (contact, matter, or lead) and is added to a record when you need it.
What is a field set?
A reusable bundle of fields applied to a record in one click, rather than adding the same six fields one at a time on every case. It copies the fields across once, so editing the set later leaves earlier records alone.
Can I change a custom field's type later?
No. The type is fixed when the field is created, and the Field type dropdown is locked when you edit one afterwards. Create a new field with the type you need and archive the old one.
Roles and approvals
How do roles work?
Each member carries exactly one named role, and that role decides which areas of the app appear for them and what they can do in each.
How precise do permissions get?
One right per area of the app, at four levels: view, create, update, and delete. Firm owners always have full access regardless.
What do approvals cover?
A required second pair of eyes before an invoice goes to a client or a document is sent for signature, configured separately for each. Reviewers wear their decision on their avatar, and a reviewer asking for changes writes it into the item's own comments, where anyone working on the item marks each point done.
