Accounts
What accounts can my firm hold?
Operating and savings for firm money, and trust, IOLTA, or escrow for client money, plus credit card and other. The exact list depends on your firm's country, and some regions show a client trust account in place of trust and IOLTA.
What is on an account's ledger?
Every transaction with its date, type, client, invoice or matter, reference, amount, and running balance. Most of those references are links, so you can follow an entry back to the record it came from. The same ledger shows on a matter and on a contact, with a column that opens the account the entry was posted to.
Can I undo a transaction?
You void it rather than delete it. Voiding is its own permission, asks for a reason, and records who did it and when. The amount comes off the running balance and the row stays in the ledger marked as voided.
Can a balance be typed in by hand?
No. A balance is the sum of the ledger's signed entries, so there is no balance field on the edit dialog. An account's opening balance is recorded as its first deposit, so the ledger and the balance start in agreement, and every move after that comes from a transaction you record or void.
Trust and reconciliation
How is client money kept separate?
A trust type gives the account its own Clients tab, a balance for every client, and stricter deposit rules. Trust accounts are also barred from being the deposit account for invoice payments, so collected income cannot land in one.
What stops one client's money paying another's bill?
A guard on every write. Esqase refuses an entry that would take a client's trust ledger below zero, even when the account as a whole holds the money, and it covers disbursements, transfers, refunds, payments drawn on trust, and voids.
Do you do three-way reconciliation?
Yes. The Three way reconciliation report puts the bank statement, your book balance, and the sum of every client ledger side by side on a date you pick, then names the differences: bank minus book, and book minus client ledgers.
How do we reconcile against a bank statement?
Every account carries a Reconcile tab. Enter the statement date and its closing balance, tick off the posted entries that appear on it, and complete the reconciliation once the difference reads zero. A completed one can be reopened later.
Time and billing
What counts as an activity?
Any billable work or reimbursable cost. Time is hours multiplied by an hourly rate, and an expense is a quantity multiplied by a unit rate, plus tax. Both live on the Activities page, and both feed the invoice for the matter they were recorded against.
Can rates vary by case or person?
Yes, through four layers of activity categories: firm, member, matter, and client. The order a person reaches for is member, then matter, then client, then firm, and the picker shows all four groups at once with each rate beside it.
What makes an entry ready to bill?
A matter and a member. A time entry with no matter is allowed but stays a draft, and a draft cannot be put on an invoice. As soon as both are filled in the entry moves to pending, which is the state an invoice can pull from.
Does rounding change the time we recorded?
No. Your firm picks a billing increment and worked time rounds up to it, while the duration on the entry stays the true worked time. The total says what will be billed, for example billed as 0.2 h in 6 minute increments.
Invoices
Where does an invoice come from?
A matter's unbilled billable activities. Pick the client, then one of that client's matters, and Esqase loads that matter's billable, un-invoiced time and expenses into the items table. You decide which lines stay, and each one can still be edited or removed before you save.
Can we bill everything at once?
Batch invoicing gathers every matter with unbilled billable work into a single screen, then generates the invoices together, either one per matter or one per the member who did the work. Every matter with a client and unbilled work starts selected, so you untick what you are not billing yet.
Can bills be reviewed before sending?
Yes. You set which roles are reviewed, who may review, and how many approvals are needed. Changing an approved invoice's client, matter, line items, or amounts clears the approvals and opens a fresh review. An invoice with an open review takes no payment link and no recorded payment until it is approved.
Can I fix an invoice the client already has?
Not by editing it, because an issued invoice's figures are fixed. Issue a credit note to reduce the balance, or write off what will not be collected. The realization report keeps the two apart, since they are different problems.
Payments
How does a client pay?
Through a payment link generated from the invoice. The client opens a secure page, verifies their identity by email, pays through their own bank or payment app, and reports it. Esqase records that as pending until someone at your firm clears it.
What methods can I offer?
A manual bank transfer link carrying your own instructions, and a scannable QR code for a banking or wallet app. A method reaches the client only once you have switched it on and finished it, and only on an invoice you generated a link for.
Can a client pay part of a balance?
Your call, set on each link. Full balance only locks the amount to what is owed. Letting the client choose gives them a field capped at what is still collectible. Your firm default applies to new links and leaves sent ones alone.
Where does collected money land?
In your default deposit account, which has to be an operating or savings account. If a client pays more than the invoice owes, Esqase applies what the invoice needs and parks the surplus in a trust account you name.
Reports
What reports do we get?
Seven: aged receivables, work in progress, realization, revenue by member, revenue by practice area, the trust ledger, and three way reconciliation. Each is a tab in the Reports area, each carries its own permission, and each downloads as a CSV.
How do I see what we have not billed?
Work in progress lists every matter with recorded billable work that is not on an invoice, with its hours, its entries, and the date of the oldest one. It has no date filter, so it always answers what is unbilled right now.
Where do credits and write-offs show up?
On realization, which compares billed against collected month by month and keeps credited and written off in separate columns. A credit note says the work should not have been billed; a write-off says it was billed correctly and will not be paid.
Does an export hold more than the report?
No. Filters, permission checks, and rows are the same in the file as on screen, so an export is never a wider extract than the report you were looking at. A search you typed is the exception: the file carries the whole report, not just the rows left on screen.
