What is a custom field for?

Capturing information Esqase does not collect out of the box. You define a field once, choose the kind of input it uses, and it becomes available on the records you pick: contacts, leads, or matters. It is how a firm records a referral source, a court county, or an insurer without waiting on a developer.

What field types can I create?

Twenty input types rather than one text box: text, multiline and rich text, numbers and currency, dates, times and date ranges, dropdowns, radio buttons and checklists, email, phone, addresses, names, star ratings, and repeating lists. Each type brings its own configuration, so a dropdown gets an options list and an address preselects your firm's country.

What is a field set?

A reusable bundle of custom fields you apply to a record all at once. If every personal injury matter needs the same six fields, a set puts them on in one click instead of one at a time. A field already on the record is skipped, so adding a set twice never duplicates anything.

Can I change a field's type later?

No, and that is deliberate. The type is locked once the field exists, because changing it would strand the data already captured against it. If you need a different type, create a new field and archive the old one, which keeps the historical values readable.

Where do custom fields appear?

On the records you added them to. A contact, lead, or matter shows its custom fields in the sidebar, with values written out in plain reading form rather than as they were typed, so an amount reads as currency and an address reads like a mailing label. An unfilled field shows a dash on a contact or a matter, and is left out altogether on a lead.

Can a field be added to just one matter?

Yes. Adding a field while creating or editing a matter attaches it to that matter only, while the firm-wide library of fields and sets is managed in settings. A matter template sits between the two: it remembers which fields appear, never their values, so every case built from it starts with the same blanks.

Can form answers fill custom fields?

Yes. A form element is matched to a custom field by its internal name and type, so giving a form question the same name as an existing field lets answers flow straight in. You can also convert a completed submission's answers into custom fields after the fact.

Who can create and delete a field?

Anyone whose role has create access for custom fields, which by default covers owners, administrators, attorneys, and staff. Deleting needs delete access and only works once a field has been archived, so a definition still in use cannot be removed by accident.
