Connect Esqase to the tools your firm already uses.

Send client email from your own address, keep your calendar in step, create meeting links, and sync a folder of documents. You connect your own accounts, and you can disconnect any of them at any time.

Every integration, and who connects it

Email, calendar, meeting, and storage connections are personal: each member makes their own, and nobody inherits a colleague's. Xero is connected once for the whole firm, by an owner or administrator.

Gmail: send from your own address

Email you write in Esqase goes out through your Gmail account, so it comes from your address and appears in your Sent folder. The connection is send-only.

How it works

  1. In Esqase, open Integrations and click Connect on the Gmail card.

  2. Read what Esqase will ask Google for, then click Continue to Google.

  3. On Google's consent screen, choose your account and allow Esqase to send email on your behalf.

  4. Send email from a matter or lead. It leaves from your Gmail address and is recorded on that record's Communications tab.

What Esqase can access

  • Sending email on your behalf. Esqase uses only Gmail's send method.

  • Your Google account email address, to show which account is connected.

Permissions requested

  • https://www.googleapis.com/auth/userinfo.email
  • openid

What Esqase never does

  • Read, list, or change anything in your mailbox.

  • Pull in replies. A reply arrives in your Gmail inbox, and you log it on the matter yourself.

  • Save drafts in Gmail. Drafts stay in Esqase.

Disconnecting

Open the card's menu and click Disconnect. Esqase clears the tokens it stored and stops sending through Gmail, and your other Google connections keep working. Esqase revokes its access with Google once you disconnect the last Google service connected with that Google account. Email you already sent stays in your Sent folder and on the record.

Outlook: send, and bring replies back

Email you write in Esqase goes out through your Outlook account, and a client's reply to it is recorded on the same matter or lead.

How it works

  1. In Esqase, open Integrations and click Connect on the Outlook card.

  2. Sign in to Microsoft and approve the access Esqase asks for.

  3. Send email from a matter or lead. It leaves from your Outlook address and is recorded on that record.

  4. About once a minute, Esqase checks the conversations it started for replies, and records each reply on the same record.

What Esqase can access

  • Sending email from your Outlook address.

  • Reading messages, used only to find replies in conversations Esqase started for you.

  • Basic account identity, to show which account is connected, and lasting access so replies keep arriving.

Permissions requested

  • Mail.Send
  • Mail.Read
  • openid
  • profile
  • email
  • offline_access

What Esqase never does

  • Show your wider mailbox in Esqase, or copy it.

  • Record mail from outside the conversations Esqase started.

Disconnecting

Open the card's menu and click Disconnect. Esqase clears the tokens it stored and stops sending and checking for replies. To remove Esqase's access on Microsoft's side too, remove Esqase from your Microsoft account settings.

Google Calendar: one schedule, both ways

Events and approved bookings you create in Esqase appear on your primary Google Calendar, and events from that calendar appear in Esqase, so your availability there is complete.

How it works

  1. In Esqase, open Integrations, click Connect on the Google Calendar card, then click Continue to Google.

  2. Allow Esqase to see, create, change, and delete events on calendars you own.

  3. Events you create, edit, or delete in Esqase, and bookings you approve, are written to your primary calendar.

  4. Every ten minutes, Esqase reads the changes on that calendar and brings them into your Esqase calendar.

What Esqase can access

  • Events on your primary Google Calendar: reading them, and creating, changing, and deleting the ones you manage from Esqase.

  • Your Google account email address.

Permissions requested

  • https://www.googleapis.com/auth/userinfo.email
  • openid

What Esqase never does

  • Use a calendar that someone else owns and shares with you.

  • Read your calendar list, your calendar settings, or who your calendars are shared with.

Disconnecting

Open the card's menu and click Disconnect. Esqase clears the stored tokens and stops syncing, and your other Google connections keep working. Esqase revokes its access with Google once you disconnect the last Google service connected with that Google account. Events already synced stay where they are on both sides and stop updating each other.

Outlook Calendar: one schedule, both ways

Events and bookings you create in Esqase appear on your default Outlook calendar, and events from that calendar appear in Esqase, so your availability there is complete.

How it works

  1. In Esqase, open Integrations and click Connect on the Outlook Calendar card.

  2. Sign in to Microsoft and approve calendar access.

  3. Events you create, edit, or delete in Esqase are written to your default Outlook calendar.

  4. Every ten minutes, Esqase brings the changes on that calendar into your Esqase calendar.

What Esqase can access

  • Events on your default Outlook calendar: reading them, and creating, changing, and deleting the ones you manage from Esqase.

  • Basic account identity, and lasting access so the sync keeps running.

Permissions requested

  • Calendars.ReadWrite
  • openid
  • profile
  • email
  • offline_access

What Esqase never does

  • Ask for mail access. Outlook Calendar is a separate connection from Outlook mail.

  • Work with any calendar other than your default Outlook calendar.

Disconnecting

Open the card's menu and click Disconnect. Esqase clears the tokens it stored and stops syncing, and events already synced stay where they are. To remove Esqase's access on Microsoft's side too, remove Esqase from your Microsoft account settings.

Meet, Teams, and Zoom: a link when you ask

Connect the meeting service you use, and the event form offers a button that creates a link. Each is its own connection, so you can create Meet links without syncing your calendar.

How it works

  1. In Esqase, open Integrations and click Connect on the Google Meet, Microsoft Teams, or Zoom card.

  2. Approve on the provider's screen. For Google Meet, Esqase first explains the request, then you click Continue to Google.

  3. On an event, click Generate Google Meet link, Generate Teams link, or Generate Zoom link.

  4. Esqase creates one meeting and puts its join link in the event's Meeting link field.

What Esqase can access

  • Google Meet: creating a meeting space, and reading the join link of a space Esqase created.

  • Microsoft Teams: creating an online meeting, and reading its join link.

  • Zoom: creating a meeting, reading its join link, and seeing which Zoom account is connected.

Permissions requested

  • https://www.googleapis.com/auth/userinfo.email
  • openid
  • OnlineMeetings.ReadWrite
  • openid
  • profile
  • email
  • offline_access
  • meeting:write
  • meeting:read
  • user:read

What Esqase never does

  • Create a meeting on its own. A link is made only when you click the button.

  • Read your other meetings, their recordings, or their contents.

Disconnecting

Open the card's menu and click Disconnect. Esqase clears the stored tokens and stops creating links through that service, and for Zoom it also revokes its access with the provider. For Google Meet, your other Google connections keep working, and Esqase revokes its access with Google once you disconnect the last Google service connected with that Google account. For Teams, also remove Esqase from your Microsoft account settings. Links already on events stay there.

Google Drive: only the files you choose

Esqase asks Google for the narrowest Drive permission: the files Esqase creates and the files you pick with Add from Google Drive. It cannot see or list anything else in your Drive.

How it works

  1. In Esqase, open Integrations, click Connect on the Google Drive card, read the summary, and click Continue to Google.

  2. Allow access to the Google Drive files that Esqase creates or that you choose.

  3. In Cloud storage settings, click Use this folder. Esqase makes a folder named Esqase in your My Drive, or reuses the one it made before, and pairs it with a folder in your documents.

  4. Bring in other files with Add from Google Drive, which opens Google's own picker. Changes sync both ways, checked every five minutes.

What Esqase can access

  • The Drive files Esqase created and the ones you pick: seeing, creating, changing, and deleting them.

  • Creating Google Docs in the Esqase folder, and converting files to PDF when you ask. An Office file is converted through a temporary copy that Esqase deletes once the PDF is ready.

  • Your Google account email address.

Permissions requested

  • https://www.googleapis.com/auth/userinfo.email
  • openid

What Esqase never does

  • See or list any other file in your Drive.

  • Pick up a file you drop into the folder from Google Drive itself. Add it with Add from Google Drive instead.

Disconnecting

Open the card's menu and click Disconnect. Esqase stops syncing and clears the stored tokens, and your other Google connections keep working. Esqase revokes its access with Google once you disconnect the last Google service connected with that Google account. Files already in Esqase stay in Esqase, and files in Drive stay in Drive.

OneDrive: one folder, synced both ways

Choose one folder in your OneDrive, and it stays in step with a matching folder in your Esqase documents. Documents you write in Esqase appear there as Word files.

How it works

  1. In Esqase, open Integrations, click Connect on the Microsoft OneDrive card, read the summary, and click Continue to Microsoft.

  2. Sign in and accept the permissions Esqase asks for.

  3. In Cloud storage settings, choose the folder to sync. The whole drive cannot be synced.

  4. Changes move both ways. Esqase checks OneDrive every five minutes, or straight away when you click Sync now.

What Esqase can access

  • Reading and writing files. Microsoft's permission covers your whole OneDrive.

  • Esqase uses it only to list folders while you choose one, sync that folder, create Word documents in it, and convert Office files to PDF.

  • Basic account identity, and lasting access so the sync keeps running.

Permissions requested

  • Files.ReadWrite
  • openid
  • profile
  • email
  • offline_access

What Esqase never does

  • Download or keep items outside the folder you chose. It ignores them when it checks for changes.

  • Change anything else in your OneDrive, apart from a temporary copy for PDF conversion that it moves to your recycle bin.

Disconnecting

Open the card's menu and click Disconnect. Esqase stops syncing and clears the stored tokens, and files stay where they are on both sides. To remove Esqase's access on Microsoft's side too, remove Esqase from your Microsoft account settings.

Xero: your billing, in your books

A firm owner or administrator connects Xero once for the whole firm. Esqase then sends your clients, finalized invoices, cleared payments, and issued credit notes to it, one way.

How it works

  1. An owner or administrator opens Integrations in Esqase, clicks Connect on the Xero card, then clicks Continue to Xero.

  2. Sign in to Xero, choose the organisation, and approve.

  3. In Settings, under Firm, open Accounting and choose the accounts and tax rates Esqase uses. Nothing is sent until they are saved.

  4. By default, Esqase sends records as they change and checks every 15 minutes. Sync now sends them straight away.

What Esqase can access

  • Reading and writing contacts and transactions in the organisation you choose.

  • Reading the organisation name, chart of accounts, and tax rates, so you can choose where each record goes.

  • Your Xero login email address.

Permissions requested

  • accounting.contacts
  • accounting.invoices
  • accounting.payments
  • accounting.settings.read
  • openid
  • profile
  • email
  • offline_access

What Esqase never does

  • Bring changes back. Nothing you change in Xero comes into Esqase.

  • Send draft invoices, or invoices still in review.

Disconnecting

An owner or administrator clicks Disconnect in the card's menu. Sync stops for the whole firm, Esqase removes its connection to that Xero organisation and clears the stored tokens, and records already in Xero stay there.

From our Privacy Policy, section 3.5

How we handle it: Google user data is used only to provide the features described above at your direction. We do not sell it, use it for advertising, or use it to develop, train, or improve generalized artificial intelligence or machine learning models. No human at Esqase reads your Google user data except with your explicit consent, to resolve a support request you raise, where required by law, or where necessary for security purposes such as investigating abuse. Access tokens are held under the safeguards described in Section 9 (Security), and disconnecting a Google account revokes Esqase's access with Google and clears the tokens Esqase stored for that connection.

Limited Use: Esqase's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Esqase's use of information received from Google Workspace APIs will adhere to the Google Workspace user data and developer policy, including its Limited Use requirements.

You can also remove Esqase's access from your Google Account at any time, at myaccount.google.com/connections. That ends Esqase's access to every Google service you connected with that account, so click Disconnect on each Google card in Esqase too, then connect again any service you want to keep using.

How Esqase uses Microsoft and Zoom data

Microsoft and Zoom connections follow the same rules as Google's: each is made by one member, is never shared with the rest of the firm, and can be disconnected at any time.

From our Privacy Policy, section 3.6

How we handle it: this data is used only to provide the features above at your direction. We do not sell it, use it for advertising, or use it to develop, train, or improve artificial intelligence or machine learning models. Disconnecting an account ends Esqase's access to it.

Your accounts stay under your control

Every connection is approved on the provider's own consent screen, and any of them can be ended from its card in Esqase.

You approve each one

You choose the account and approve the access on Google's, Microsoft's, Zoom's, or Xero's own screen.

Personal by default

Email, calendar, meeting, and storage connections belong to the member who made them. Colleagues never inherit them.

Tokens under our safeguards

Access tokens are held under the safeguards in section 9 of our Privacy Policy. The database and file storage are encrypted at rest.

Disconnect at any time

Disconnecting clears the stored tokens and stops that service. Esqase also revokes its access with Zoom, removes its Xero connection, and revokes its access with a Google account once you disconnect the last Google service connected with it. For Microsoft, also remove Esqase in your account settings.

FAQs

What connects, who controls it, and what happens when you disconnect.

Do I have to connect anything to use Esqase?

No. Almost everything works without a single connection. You connect Gmail or Outlook only if you want client email to come from your own address, a calendar only if you want events mirrored on the one you already check, and Meet, Teams, or Zoom only if you want video links generated for you.

Are connections shared with the rest of the firm?

Email, calendar, meeting, and cloud storage connections are personal to your own account, so each member connects their own and nobody inherits a colleague's. The accounting connection to Xero is firm-wide: a firm owner or administrator makes it once, and it syncs the whole firm's billing.

What is the difference between the Gmail and Outlook connections?

Outlook sends and brings replies back onto the same record automatically. The Gmail connection is send-only, so Esqase does not read your mailbox, and a reply that lands in your Gmail inbox is logged against the matter by you rather than for you.

Can I connect both Gmail and Outlook?

Yes. With both connected the email composer shows a From picker, so you choose which mailbox each message goes out from. Connecting one provider never replaces another: Gmail, Outlook, Google Calendar, Outlook Calendar, Meet, Teams, and Zoom are each their own connection.

Can I create Meet links without syncing my Google Calendar?

Yes. Google Meet is its own connection with its own permission, so you can generate Meet links on events without connecting Google Calendar, and the reverse.

Can we connect our accounting software?

Xero, yes. A firm owner or administrator connects it under Accounting, once for the whole firm, and Esqase then sends your clients, finalized invoices, cleared payments, and issued credit notes to it, one way. QuickBooks Online is marked Coming soon and cannot be connected yet.

Can Esqase sync our documents with OneDrive or Google Drive?

Yes. Each member connects their own drive. With OneDrive you choose one folder. With Google Drive, Esqase uses a folder named Esqase in your My Drive. That folder stays in step with your Esqase documents both ways, within five minutes or straight away with Sync now, and every change from the drive is kept as a new version. You can also create a Word document or a Google Doc there, and convert Office files to PDF to send for signature.

Why does Esqase not see every file in our Google Drive?

Esqase asks Google only for the files it creates and the files you choose to add, never your whole Drive. A file you drop into the synced folder from Google Drive itself stays hidden from Esqase until you add it with Add from Google Drive. OneDrive has no such limit inside the folder you choose.

How do I remove Esqase's access to my Google account?

Click Disconnect on each Google card in Esqase that you connected with that account. Each Disconnect clears the stored tokens for that service and stops it, and your other Google connections keep working. Once you disconnect the last Google service on that account, Esqase revokes its access with Google. You can also remove Esqase at myaccount.google.com/connections. That stops every Google card connected with that account, so disconnect each of them in Esqase as well, then connect again any you still want to use.

Keep the tools you have. Connect them once.
