Run claims and counsel work from the same system.

An employment practice is rarely one kind of matter. Esqase opens claims and advisory retainers as their own matter types, and bills each the way it is actually supposed to be billed.

Take the claim down once, and carry it forward

A new claim starts with a call or a web enquiry. An intake form takes the incident details, the lead moves through your stages, and converting it opens a matter with the client and the folder.

Public intake forms

Capture the incident details straight from the client.

Run the conflict check on both sides of an employment matter, the employer and the employee, before it saves.

Conflict checking

Managing leads

Screen a new claim through the stages you define.

Converting a lead

The client, folder, and checklist move to the matter.

Draft it, sign it, and bill it the right way

A contingency claim and an hourly retainer do not share one invoice. Each matter carries its own billing method, the demand letter starts from your template, and agreements are signed by link.

Templates and placeholders

Draft the demand letter, each detail typed once.

Requesting eSignatures

Get a settlement or severance agreement signed by link.

Time and expense tracking

Bill advisory hours against the matter that earned them.

FAQs

Matter types, intake, deadlines, letters, conflicts, and signing.

Can we run claims and advisory retainers on the same system?

Yes. Build a separate matter template for each, a claim template with its own checklist and stages, an advisory template with its own, so the two kinds of work never have to share a workflow they were not built for. Each matter also carries its own billing method, hourly, flat rate, or contingency fee, set when you open it.

Can a new claim capture details before the first call?

Yes. A public intake form collects the incident details directly from the prospect, and the submission arrives as a lead ready to work. Push the answers onto that lead as custom field values in one click, so what the client typed becomes a field on the record rather than a form somebody has to reread.

Does Esqase track EEOC or agency filing deadlines?

No. Esqase does not calculate agency deadlines from a jurisdiction's rules. You set the date, typically as a task due a set time after the matter opened, and Esqase then tracks it on the task board and shows it on the firm calendar on its due date.

Can we draft a demand letter from a template?

Save it once with placeholders for the claimant, the employer, and the claim details, then fill each one in on the new draft and every place it appears updates with it. Start that draft from the template inside the matter's own folder and the matter fields fill themselves in: the matter number, title, client, and responsible attorney. The template keeps its blanks, so the next claim starts from the same wording rather than from the last letter you sent.

How do we check for a conflict between an employer and an employee?

Add the other side as a related contact and run the check on both. A related party who already appears as a client of the firm comes back as a high-priority match, and Esqase holds the matter until you tick the acknowledgment. Reviewing what came back, and deciding whether it is a conflict, stays with you.

Can a settlement or severance agreement be signed remotely?

Yes. Add the signer and they get a private link to review and sign from any device, with no printer or in-person meeting required. Turn on Sign in order when the countersignature has to follow, and the consent statement each signer accepts is the one written for your firm's country.

Run every claim and every retainer, correctly.
