Close the deal with the file already in order.
A closing fails on the details: a missing document, an untracked date, or funds nobody could account for. Esqase opens each transaction with its checklist, and holds closing funds in trust or escrow.
Every closing opens with its checklist running
A purchase, a sale, and a refinance move differently from contract to closing. Open each from a matter template, with a task list dated from the open date, then add each party as a contact.
Track the parcel number, the closing date, and the lender as fields on the matter, so the details you check stay visible.

Hold the funds, draft the documents, sign them
Earnest money and closing funds sit in a trust or escrow account, with a client ledger behind the balance. Draft the closing statement from your template, then send it out for signature.

Can a closing checklist repeat for every transaction of that type?
Yes. Build a task list template with the steps a purchase, sale, or refinance always needs, with due dates set relative to the matter's open date, then attach it to a matter template so every new transaction opens with the same checklist running.
How does Esqase handle earnest money and closing funds?
They sit in a trust, IOLTA, or escrow account, separate from operating funds, with a per-client ledger behind every entry. Money leaves as a recorded disbursement naming its payee, or as a trust transfer against an invoice, and Esqase refuses either if it would take that client's ledger below zero.
Can we track every party without losing track of who is who?
Add buyers, sellers, agents, and lenders as contacts linked to the matter, and run a conflict check before you take the transaction so a prior relationship with any party surfaces early. A high-priority match has to be acknowledged before the matter saves, while declining is still straightforward.
How much of a closing statement or deed can I reuse?
All of the wording. Write it in the editor once and save it as a template, with placeholders for the parties, the property, and the terms. Fill each one in on the new draft and every place it appears updates with it, while the template keeps its blanks for the next deal.
Can closing documents be signed without an in-person meeting?
Signing runs on a PDF. Add each party as a signer and each gets a private link to review and sign from any device, and turn on Sign in order when one party has to sign before another. Some recorded documents still require in-person notarization under local rules, so check what your jurisdiction asks for.
Can we move existing transactions into Esqase?
Yes. Import contacts and matters in bulk from a CSV export of whatever you used before, pasted into the template Esqase builds for your firm, so open files move with you rather than being retyped one at a time.
