What does a communication log record?
A record of one phone call or email exchange, tied to the matter it belongs to. Logging them gives a case a searchable history of who was contacted, when, and about what, visible to everyone assigned to the matter rather than to one person's inbox.
Does email go out from Esqase or from our own address?
From your own connected Gmail or Outlook account, so the client sees the address they already know. Every message is logged on the matter's Communications tab where the whole team can read the history. With no mailbox connected, you write the message in Esqase and finish the send in your own mail app, and the row is marked Unverified because Esqase never saw it go out.
Do client replies come back into Esqase?
It depends on the provider. Outlook pulls replies back into the same record on its own, while the Gmail connection is send-only, so a reply to a Gmail-sent message is logged by you rather than automatically.
Can we reuse the wording we always send?
Yes. Email templates hold the standard message with placeholders for the client's name and your firm's details, so a routine update goes out with the details already filled in. Your signature is applied for you, from the firm default or your own override.
Can time spent on a client call be billed?
Yes. A communication log carries a Record time control, so the call is timed against the matter it concerns rather than reconstructed at month end. The entry waits as unbilled work until that matter's next invoice.
Can a client see documents without a portal login?
Yes. Share a document by link rather than as an attachment. You choose whether the recipient confirms their email address first and what they can do with the file, and you can revoke the link later.
Can we chat with a client instead of emailing?
Yes. Your firm starts the conversation from Messages and the client reads and replies in the client portal, with an email telling them a message is waiting and nothing of the message in it. A chat is not a communication log entry, so anything that belongs on the file goes out as an email or a note.
