Catch the hours that never make it onto a bill.

Time reconstructed at the end of the week is a guess, and guesses bill low. Esqase keeps a timer in the dashboard header and a Record time control on the work itself.

Record the work while you are still doing it

A timer sits in the dashboard header, so the clock starts from whatever page you are on, and a Record time control sits on tasks, events, notes, documents, and communication logs.

Time and expense tracking

Every entry linked back to the record that produced it.

Worked time rounds up to your firm's billing increment, and the Total field says what will be billed before you save.

Billing settings

Record time on a task

Five record types carry the control, linked to their matter.

Communication logs

Bill the call straight from the log you made of it.

Price it right, then get it onto the invoice

Activity categories carry four rate layers, member, matter, client, and firm, in one picker. Entries wait on the matter for its next invoice, and work in progress lists what is not billed yet.

Activity categories and rates

Creating and sending invoices

Unbilled entries become the line items on that bill.

FAQs

Timers, rounding, rates, draft entries, and getting to a bill.

How do I record time from the page I am already on?

A compact timer sits in the dashboard header. Click play and Esqase creates a blank time entry and starts counting, and the clock stays in sync across your browser tabs. You can also click Record time on a task, event, note, document, or communication log.

What does rounding do to the time I recorded?

If your firm has set a billing increment, worked time is rounded up to it when you save the entry or pause the timer. The Duration field still shows the true worked time, so your own records stay honest, and the Total field says what will be billed.

Why does my time entry stay a draft?

A draft is missing a matter, a member, or both. Quick timers started from the header commonly begin that way. Open the entry, set both fields, and it moves to Pending, which is the state that can be added to an invoice.

Which rate does an entry use?

There are four layers: member, matter, client, and firm. The category picker shows all four groups at once with each option's rate beside it, and the narrowest match is listed first. Picking a category fills the Rate field, and you can override it on that one entry.

How does a recorded hour end up on an invoice?

You add it from the invoice, not from the Activities page. Open or create the invoice for the matter and add line items, and the dialog lists that matter's unbilled activities. Only billable, active, unbilled entries appear, so the same hour is not offered twice.

How do I find work that was recorded but never billed?

The work in progress report lists what has been recorded and not yet invoiced, so unbilled hours surface before the month closes rather than a quarter later. Each report downloads as a CSV.

Bill the hour you actually worked.
