What kinds of files can I keep here?
Everything a matter accumulates: scanned PDFs, Word documents, images, spreadsheets, and the rich-text documents you write inside Esqase. Uploaded files open in a preview, while native documents open in the full editor, and both live in the same folder structure against the matter.
Is there a real editor, or just storage?
A real one. The file editor is a built-in word processor that fills the screen, saves as you type, keeps versions you can restore, handles images and other media, and lets you set page size and orientation. You can export when you need the file somewhere else.
What do placeholders do?
They turn the parts that change into named blanks. Write a placeholder wherever the client's name belongs, then type that name once and every instance updates together. The saved document keeps its blanks, and the PDF you export carries your values, so the same engagement letter is ready for the next client. Most placeholders wait for a value you type. The matter group is the exception: start a document from a template inside a matter and its number, title, open date, and responsible attorney arrive filled in.
Can I share a document with someone outside the firm?
Yes, with a share link rather than an attachment. You control who can open it, whether they confirm their email first, and what they can do once in: view only, download, or comment. Because it is a link, you can revoke it, which an emailed copy never allows.
Can we discuss a draft without emailing it around?
Comment on the document itself, in a panel that opens beside it. Mention a colleague with @ and they are notified, reply to what someone said, react to it, and the discussion stays attached to the file rather than fragmenting across inboxes. It is also where a reviewer's requested changes land, so the note and the draft never come apart.
How do I find a document months later?
Search reads the contents of your files as well as their names, so a remembered phrase is enough to find one. The same content-aware search powers the firm-wide search you open from anywhere with a keyboard shortcut, and document results there show a short summary of what each file is about. Reading file contents is a firm setting an owner can switch off, and search then matches names only.
Can a document be reviewed before it goes out?
Yes, if your firm turns on document approvals. The review control sits in the document's own header, beside Sign: ask colleagues to review, and read each decision off their avatars. A reviewer who wants something changed writes it into the document's comments, and editing the content afterwards starts the review over rather than releasing a version nobody read.
