Go paperless, from first draft to signed copy.
Going paperless starts before the scanner does, with a file that is born digital and stays that way. Esqase holds the draft in its own editor, files it on the matter, and collects signatures by link.
Draft it, template it, file it on the matter
The built-in editor works like the word processor your team knows, with autosave, saved versions, and page setup. Save a draft as a template, and a placeholder fills every mention at once.
Discuss a draft on the document itself instead of a chain of emailed attachments, so the conversation and the file never separate.
The file editorTemplates and placeholders
Reuse the wording and fill in the blanks each time.
Filed against the matter
Folders, uploads, and versions organized by the matter.
Send it for signature, and watch it come back
A signer opens a private link on any device, with no account to make, and accepts a consent statement chosen from your firm's country. You see who has viewed, signed, or declined.

Scanning, eSignature, search, sharing, and client access.
Do I still need to scan anything?
Only what arrives on paper from somewhere else, a signed original mailed to you, for instance. Upload the scan once, and from that point it lives in the same folder structure as everything drafted natively in Esqase, searchable the same way.
Is an electronic signature legally valid?
Esqase eSignature is designed to meet ESIGN and UETA in the United States and the Electronic Commerce Act in the Philippines. Each signer opens a private link, agrees to an electronic record and signature disclosure chosen from your firm's country, and the finished request produces a sealed PDF with a Certificate of Completion. Verify integrity later checks that PDF against the fingerprint recorded at completion. Law and court rules exclude some documents from electronic signing, and your firm decides where that applies.
Can I find a document without remembering its file name?
Yes, where your firm has AI document indexing on. Search then reads the contents of your files as well as their names, so a phrase you half remember from a letter is enough to find it, and results show a short summary of each document so you can tell why it matched. With the setting off, search matches names only.
How do I send a document to someone outside the firm?
Share a link rather than an attachment. You choose whether the recipient confirms their email address first and what they can do with the file, and you can revoke the link later, which an emailed copy never allows.
Can a client review and sign without creating an account?
Yes. A shared document or a signature request opens from a secure link on any device, with no account to create and nothing to install.
What happens to older documents from before we switched?
Upload them into the documents workspace and file them against the right matter. A single file can be up to 10 GB. An uploaded file cannot use placeholders, which belong to documents written in the Esqase editor, but it becomes searchable and shareable like everything else.
