What is a communication log?
A record of a single phone call or email exchange, tied to a matter or a lead. Logs live on that record's Communications tab, and together they give the case a searchable history of who was contacted, when, and about what, which is what lets someone pick up a file they have never worked on.
Whose email address do clients see?
Yours. Email is sent through your own connected Gmail or Outlook account, so the message comes from the address the client already recognizes rather than a system address that looks like automation and gets filtered like it. If you connect both, the composer lets you pick which mailbox each message leaves from.
Do replies come back into Esqase?
It depends on the provider. Outlook replies are pulled back into the same record automatically and thread onto the communication they answer. The Gmail connection is send-only, so Gmail replies land in your own inbox and you log them yourself when they matter to the case.
What if nobody has connected a mailbox?
The composer still opens in full. Write the message in Esqase, with your template, signature, and placeholders already resolved, then click Continue and hand it to Gmail, Outlook, Yahoo, Proton, AOL, or whichever mail app your computer uses. Copy the formatted body or download an .eml file to carry the styling, images, and Bcc across. Then choose what to keep: a draft, a row logged as sent, or nothing.
What does the Unverified badge mean?
That someone composed the email in Esqase and sent it from their own mail app, then chose to log it as sent. Esqase never saw it leave, so it cannot confirm delivery, and replies to it are not pulled back in. The row stays editable, because it is your colleague's own record of the message rather than a copy of something Esqase transmitted.
Can I reuse the emails we always send?
Yes, through email templates. Write the message once and pick it in the composer, and its placeholders fill in the recipient's name, your firm's details, and your own, so a standard letter goes out populated rather than needing those details typed in each time.
Do I have to paste my signature every time?
No. Esqase drops your signature into the body the moment the composer opens: your personal one if you have set it, otherwise your firm's default. Because it sits in the body like any other text, you can trim it for a single email without touching the version you saved.
Can I bill for a call I just logged?
Yes. Time can be recorded directly against a communication log, so the twenty minutes on the phone is captured while you remember it rather than reconstructed at the end of the month, when it is usually rounded down or forgotten.
Can I find a call I only half remember?
Search runs over the subject, the body, and the parties on a log, so a client's name surfaces every email and call that mentions them. A date range narrows it further, and the Type and Status filters split phone from email, and active from archived.
Can I file an email under the right matter?
Yes. When you email a contact who is involved in more than one case, you choose which matter or lead the message is filed under, so the history stays clean rather than pooling every message about a client onto whichever file happened to be open.
