Onboard a signed client into a staffed matter.

Onboarding usually means retyping intake answers into three places while a client waits on an engagement letter. In Esqase a hired lead converts into a matter that already carries the client and the file.

Convert the lead, open the file

A hired lead carries its contact, practice area, documents, and intake checklist into the matter. Pick a template as you convert and the team, starting tasks, and billing setup come with it.

Converting a lead to a matter

One click carries the contact and details forward.

Send a form link while you finish opening the file, and read the answers in Esqase instead of chasing an email thread.

Custom fields

Capture what only your practice area needs to know.

Send the letter, then start the work

Draft the engagement letter from a saved template, type each placeholder once, and Esqase saves a PDF copy to send for signature. A task list clones the first week onto the new matter.

FAQs

Conversion, staffing, letters, signing, and conflict checks.

How fast can a new client go from signed to an open matter?

As fast as your team can click convert. A hired lead becomes a matter in one step, carrying its contact, practice area, document folder, and intake checklist across, and a matter template applied at conversion adds the starting tasks, default team, and billing setup in the same action.

Does the new matter get staffed automatically?

If the matter template you convert with has a default team, that team is assigned the moment the matter opens. You can still add or change assignees afterwards from the matter itself.

Can we reuse one engagement letter for every new client?

Yes. Save it as a document template and write the parts that change as placeholders. Starting a new document from that template brings the wording and the placeholders with it, and typing a value once updates every place it appears, while the template keeps its blanks.

Can a new client sign an engagement letter from their phone?

Yes. Add them as a signer and they get their own private link, opened with a one-time sign-in link sent to the email address you hold. The signing page works on phones and tablets, and there is no account to create and nothing to install.

When should we run the conflict check?

Esqase runs it for you at the moment you commit. It starts on its own inside Mark as hired and inside the convert dialog, and you start it yourself on the first step of the new-matter wizard. A high-priority match, or a check that could not finish, holds the save or the convert until you tick an acknowledgment. Deciding whether a conflict exists stays with you.

Can a client fill in their own details while we open the file?

Yes. A public intake form collects the details you still need directly from the client, and an event type lets them book the first call themselves, both before the matter is fully staffed.

Stop re-keying the same client twice.
