Filling PDF forms such as USCIS forms
A PDF form is a fillable PDF, such as a USCIS Form I-130 or G-28, that you set up once so Esqase can fill it for any matter or lead. You upload the blank PDF, tell Esqase what goes in each of its fields (a form answer, a record value like the client's name, or fixed text), and from then on Esqase makes a filled copy for each client in a couple of clicks. When the client sends new answers, the filled copy fills itself again.
There are three pieces to keep apart:
- The PDF form is the blank PDF you uploaded and set up. It stays blank. Its Fields tab holds the list of the PDF's fields and what fills each one, called the field map.
- The linked form is a form from your form builder whose answers fill the PDF. You can link one you already have, or let Esqase build one from the PDF.
- A filled copy is a separate PDF in a matter's or lead's documents, filled from that record. Each time it is filled again with changed values, it gets a new version, so its history is kept.
Placeholders such as {{contact_name}} still work as before in documents you write in the Esqase editor. A PDF form is how you fill an uploaded PDF. See Document placeholders.
Note: This page uses USCIS forms as its example, but any fillable PDF works the same way, such as a court form, a bank form, or your own PDF with form fields.
Before you begin
- Permissions. What you can do depends on your role. Firm owners can always do everything.
- Setting up a PDF form, mapping its fields, linking a form, and archiving it need Update access for both Forms and Documents. Creating a new form from the PDF also needs Create access for Forms.
- Filling a copy for a matter or lead needs Create and Update access for Documents and View access for Forms, plus View access for the matters or leads you fill it for.
- Refilling a copy, typing a value into it, and changing its settings need Update access for Documents and View access for Forms.
- Viewing a PDF form or a filled copy, and downloading a flattened PDF, need View access for Documents.
- Fillable and flat PDFs. A fillable PDF has form fields built in, the boxes you can click and type into in a PDF reader. USCIS forms are fillable. A flat PDF, such as a scan, has none: you can still set it up, and you place the boxes yourself. See Place boxes on a flat PDF.
- The edition date. Government forms change. Esqase reads the form number and edition from the PDF's first page, for example Form I-130, edition 04/01/24, and shows it on the PDF form and on every filled copy. Esqase does not keep a list of current editions, so check the form's page on the agency's website before you file. See Filing USCIS forms.
- Start from the official file. Download the blank PDF from the agency's website and upload that file to Documents, without filling anything in first. See Upload files.
How it works
- Upload the blank PDF and set it up as a PDF form.
- Link a form whose answers fill it, or let Esqase create one from the PDF.
- Map the fields that need it, and save.
- Send the form to your client, or fill it in for them, as with any form. See Building forms.
- Fill a copy of the PDF form for the client's matter or lead.
- Check the copy on its Fields tab, fix anything missing, and download a flattened PDF to print or upload.
When the client's answers change later, Esqase fills the copy again on its own. See When answers change.
Set up a PDF form
Check and set up an uploaded PDF
- Upload the blank PDF to Documents, then open it.
- In the panel on the right, open the Details tab. Under PDF form it reads "Fill this PDF from form answers and records."
- Click Check this PDF. Esqase reads the file and shows what it found:
- Type: Fillable PDF or Flat PDF.
- Fields: how many fields the PDF has, for example 450 on a Form I-130.
- Pages: the page count.
- Form and Edition: the form number and edition from the first page, when the PDF has them.
- A flat PDF adds "This PDF has no fillable fields, so you place the boxes by hand."
- Click one of the two buttons:
- Set up as PDF form sets it up with no form linked yet. You see PDF form set up.
- Create a form from this PDF sets it up and starts the AI analysis that suggests a new form for it, in one step. You see PDF form set up. Analysis started. This button is not offered on a flat PDF. See Create a form from a PDF.
- The file now has a Fields tab, and it opens.
The PDF form section appears only for members who can set up PDF forms, and not on a file in the Trash.
PDFs that cannot be set up
Esqase tells you why when a file cannot be set up:
| Message | What to do |
|---|---|
| Only a PDF file can be set up as a PDF form | Upload the form as a PDF. |
| This PDF needs a password to open, so it cannot be set up as a PDF form | Get a copy without a password. USCIS forms open without one. |
| This PDF only works in Adobe Reader, so it cannot be set up as a PDF form | The form is a dynamic form built to run only in Adobe Reader. Ask the publisher for a standard fillable PDF. |
| This PDF has more than 2,000 fields, so it cannot be set up as a PDF form | Split the form, or fill it by hand. |
| This PDF is larger than 50 MB, so it cannot be set up as a PDF form | Upload a smaller copy. |
| We couldn't read this PDF, so it cannot be set up as a PDF form | The file is damaged. Download it again and upload the new copy. |
| Restore this file before setting it up | The file is in the Trash. Restore it first. |
| A filled copy cannot be set up as a PDF form. Use the blank PDF | You opened a filled copy. Set up the blank PDF instead. |
| This file changed while we were reading it. Please try again | Someone uploaded a new version at the same moment. Try again. |
The Fields tab
A PDF form opens with four tabs on the right: Details, Versions, Fields, and Activities. The Fields tab is where you map the PDF, and the pages on the left show a box over every field.
At the top, the tab names the form and its edition, for example Form I-130, edition 04/01/24, with a line such as Fillable PDF · 312 of 450 fields mapped. Below that:
- Linked form names the form whose answers fill the PDF, with Open in form builder, Change, and Unlink. With none yet, it reads No form linked yet. with Link a form.
- Create a form offers to build a form from the PDF. See Create a form from a PDF.
- The toolbar: Map by name, Add box, and Fill for a record.
- The list of fields, then the settings of the field you select, then Save at the bottom.
The boxes on the pages are color coded, so you can see at a glance what is left:
| Color | Meaning |
|---|---|
| Green | Mapped: something fills this field |
| Amber | Not mapped yet |
| Grey | Ignored, or never filled |
| Blue | The field you selected |
| Red | Needs attention, for example an answer that is no longer in the form |
Click a box on the page to select its field in the list.
The field list
- Fields are grouped by page, for example Page 2 (64). Search them with Search fields, and narrow them with the filter: All fields, Needs mapping, Mapped, or Ignored.
- Each row shows the field's label (the question text the PDF carries, such as the family name line of Part 2), its short field name in small type, its kind, and what fills it.
- The kinds are Text, Check box, Choice, Dropdown, List, Signature, and Button, plus Text box and Check mark for boxes you placed yourself.
- What fills it reads like Answer: petitioner_name, Last name, Placeholder: contact_email, Text: 12345, Not mapped, Ignored, or Never filled.
Note: When you set up a PDF form, its signature fields, buttons, and fields the PDF marks as read only (such as the barcode at the foot of each USCIS page, or a field the PDF already fills in) start as ignored. They are never filled. Empty fields that only Adobe's form layer unlocks, such as the bar number, licensing authority, law firm, and apartment number fields on the G-28, are not ignored: they are mapped like any other field, and Esqase fills them and unlocks them in the copy.
Map a field
-
Select the field, on the page or in the list.
-
In Fill from, choose where its value comes from:
Fill from What it does Form answer The client's answer to a question. Pick the Form (only the linked form is offered once one is linked), then the Answer by its merge key. Record placeholder A value Esqase fills from the matter or lead, the same ones documents use, such as the client's name or email, the matter number, or your firm's address. Listed as Group: description. See Placeholder reference. Fixed text The same text on every copy, up to 256 characters. Not mapped Nothing yet. The box stays amber. Ignore Leave this field blank on purpose. The box turns grey. -
For an answer to a Name, Address, or Date range question, choose the Part that belongs in this field:
- Name: First name, Middle name, Last name, Prefix, or Suffix.
- Address: Street line 1, Street line 2, City, State, ZIP, or Country. State and country fill as their codes, such as TX and US.
- Date range: Start or End.
- Whole answer fills the whole value.
-
For a text field, choose a Format:
Format Example As entered The answer as the client typed it Uppercase ALVAREZ Digits only 123456789 Date mm/dd/yyyy 01/02/2026 Date in words January 2, 2026 Phone number (555) 123-4567, or 5551234567 in a field that holds exactly 10 characters -
For a check box, fill in Checked when the answer is, for example
Spouse. See Check boxes, choices, and dropdowns. -
Repeat for the other fields, then click Save.
A part the client left empty fills nothing. A person with no middle name gets an empty Middle name field, not their whole name. Choosing a part on an answer that has no parts fills the whole answer.
Check boxes, choices, and dropdowns
- A check box is checked when the answer matches Checked when the answer is. The match ignores capital letters and spaces at either end, and the option's label works as well as its stored value. For a Checklist answer, the box is checked when that choice is among the ones the client ticked. A mapped box whose answer does not match is left unchecked.
- Choices and dropdowns pick the option whose value or label matches the answer. US state names match their two-letter codes, so Texas picks TX. When the answer and the PDF's options are worded differently, use the option map: under When the answer is, type the answer, and under Choose in the PDF, pick the PDF's option. Leave an answer blank when it already matches the PDF.
- On a USCIS form, a group of boxes where you select only one, such as the relationship boxes in Part 1 of the I-130, is a separate check box for each choice. Map each box to the same answer, each with its own Checked when the answer is.
- Some PDFs store a group of check boxes as one field with a value for each box. Esqase checks the box whose value or label matches the answer. When the answer matches none of them, every box in the group stays empty and the copy shows "The answer does not match a choice in this field."
Map by name
When a form is linked, Map by name maps every field whose name or label matches a merge key of the linked form, including the parts of names and addresses. You see "Mapped 24 fields. Save to keep them.", or "No fields matched an answer of the linked form". Check the new mappings, then click Save.
Map by name is greyed out until a form is linked, with the hint Link a form first.
Place boxes on a flat PDF
On a flat PDF, or for a spot a fillable PDF has no field for, add your own boxes.
- Click Add box, then Text box or Check mark.
- "Click the page where the box goes." Click the spot on the page.
- Drag the box to move it and drag its edges to resize it. With the box selected, the arrow keys nudge it, and Shift with an arrow key moves it further.
- Give it a Box name, and map it like any other field.
- Click Save.
Text in a box you placed is written in Courier Bold. A value too long for the box shrinks down to 6 point, and if it still does not fit it is cut short with a warning. A check mark prints an X. Remove box deletes a box you placed.
Save your changes
Field changes are kept until you click Save at the bottom of the tab, where you see how many changes are waiting, such as 3 unsaved changes, or All changes saved. Fill for a record waits until everything is saved.
- Fields saved means the map is stored. Many changes at once are saved in batches. If one batch is refused, the changes saved before it stay saved and the refused fields are highlighted.
- "Some fields could not be saved. Check the highlighted fields and try again" means one or more fields need fixing. Each one says why: "This answer is not in the form.", "This placeholder does not exist.", "Choose what fills this field.", "Use 256 characters or fewer.", "This answer has no such part.", "Move this box inside the page.", or "This field is never filled."
- "Someone else changed this PDF form. Reload to continue." means a colleague saved first. Click Reload.
- "Restore this file before changing its PDF form" means the PDF is in the Trash. Restore it, then save again.
Link a form
- On the Fields tab, click Link a form (or Change on the Linked form card).
- In the dialog, "Answers from this form fill the PDF.", choose the Form and click Save changes. You see Form linked.
Once a form is linked, Form answer offers only that form's answers, and a field mapped to an answer the form no longer has reads "This answer is not in the form." Unlink removes the link (Form unlinked) and keeps your mappings.
Create a form from a PDF
Instead of building an intake form question by question, let Esqase build one from the PDF and map it for you. You review the result before anything is created.
With AI
- On the Fields tab, find the Create a form card: "Turn this PDF into an intake form mapped to its fields."
- Click Analyze with AI. You see Analysis started. If you have unsaved field changes, save them first.
- The card shows Queued, then Running with "AI is reading the PDF. This can take a few minutes." You can leave the page: when it finishes you get a PDF form ready notification.
- When it reads Done and "The suggested form is ready to review.", click Review and create form, and continue in The review dialog.
If it fails, the card reads Failed with the reason, and Try again:
- "The AI analysis could not finish. Try again in a few minutes."
- "The AI analysis took too long for a PDF this size. Try again later."
- "The AI analysis did not return a usable form. Try again in a few minutes."
- "This PDF has no fillable fields to analyze."
- "AI analysis is not available for documents on personal injury matters": the PDF sits under a personal injury matter. This also happens when a PDF is moved under one while its analysis waits, and you get a failed notification.
If an analysis seems stuck, after 15 minutes the card reads "Still running since..." with the date and time, and you can start it again.
What the AI sees
- Only the blank PDF. The AI reads the PDF form's field names, the question text attached to each field, and the text printed on its first page. It never sees a filled copy or any client's answers: Esqase writes the answers into each copy itself.
- Nothing is created until you say so. The analysis only suggests a form. You review it and click Create form.
- Signature fields and read-only fields are left out, apart from the empty fields Adobe's form layer unlocks, which the analysis and the draft include. Flat PDFs are not analyzed.
Without AI
Click Create without AI on the Create a form card. Esqase builds the form straight from the PDF's fields and their question text, with no AI involved, and opens the same review dialog.
The review dialog
The Create a form from this PDF dialog says what the form is built from ("Built from the AI analysis of this PDF." or "Built from the fields in this PDF.") and counts what you will get: Questions, Pages, Sections, Fields mapped, and Fields needing attention.
- Check the Form name. Esqase suggests one, such as Form I-130. It can be up to 128 characters.
- Click Create form. You see Form created, with Open form builder.
What the new form looks like
- One page for each Part of the PDF, with a heading for each section.
- Name and address fields grouped into Name and Address questions, so the client answers them once.
- "Select only one" boxes become a single choice question, and "select all that apply" boxes a checklist.
- Lengths kept: a question that fills a field with a set length allows no more characters than the field holds.
- Nothing required. Every question starts optional. Mark the ones you need as required in the builder.
- Shared with the firm, and not a lead-intake form.
- Already linked and mapped. The PDF form is linked to the new form, and its fields are mapped to the new questions, dates as Date mm/dd/yyyy and phone numbers as Phone number.
Open the form in the builder to reword questions, reorder them, add help text, and mark required fields, then send it to your client. Renaming a question's merge key in the builder stops it filling the PDF until you map the field again. See The form builder in depth.
Use the AI Assistant
The AI Assistant can do the same work from a conversation. Attach the PDF or name it, and ask in your own words, for example:
- "Turn the attached I-130 into an intake form." The assistant sets up the PDF form and starts the analysis, after you confirm.
- "Is the analysis of the I-130 done?"
- "Create the form from it and call it Petition intake." This creates the form, links it, and maps the fields.
- "Which fields of the I-130 still have no source?"
- "Fill the given name field from the first name of the petitioner name answer and leave the middle name blank."
- "Fill the I-130 for the Silva matter." You can also name a lead, a particular submission, a file name, or a folder.
A few rules: these changes follow your Approvals setting like any other change the assistant makes; one request maps up to 50 fields; the assistant lists a PDF form's fields 30 at a time; it does not analyze flat PDFs; and it does not work with personal injury matters, which includes filling into a folder, or from a PDF form, on a personal injury matter. An analysis still waiting or running after 15 minutes can be started again from the assistant, or the form created from the draft Esqase builds without AI. Documents you write in the editor are filled with placeholders, not with these tools.
Fill a PDF form for a record
Start a fill
From any of these places:
- A matter: on the matter's Documents tab, click New, then Fill a PDF form.
- A lead: open the lead's More actions menu (the "..." button) and click Fill a PDF form.
- The PDF form: on its Fields tab, click Fill for a record.
The Fill a PDF form dialog
"Esqase fills a copy of the PDF form from the record's answers." Opened from a PDF form, the dialog is called Fill for a record.
- PDF form: choose the form, listed by form number, name, and edition. Opened from a PDF form, it is already chosen.
- Fill for: Matter or Lead, then search for the record. Archived matters and leads are not listed. Opened from a matter or a lead, the record is already chosen.
- Form answers from:
- Latest answers: the newest completed submission of the linked form, and for anything that form does not ask, the newest completed submission of another form that does.
- One submission, listed like Client intake, January 2, 2026: only that submission's answers.
- Save to: starts on the record's documents folder. Click Change folder to pick another. The top level of My documents cannot hold the copy, so pick a folder inside it.
- File name: starts as the form number (or the PDF form's name) and the client's name, for example I-130 - Marisol Alvarez.pdf. If that name is taken in the folder, Esqase adds (2), (3), and so on.
- Click Fill. The button reads Filling... while it works.
You see a message such as I-130 - Marisol Alvarez.pdf is ready, and the copy opens on its Fields tab.
What goes into the copy
- Form answers come only from completed submissions on the record that you can see, as for document placeholders. See Form answers.
- Record placeholders fill from the matter or lead, its client, and your firm, as they do in documents. A field mapped to the Document name placeholder holds the copy's file name, including a (2) added for a name already in the folder.
- Typed answers are written in Courier Bold, at the field's own size, which is 10 point on USCIS forms.
- Long values are shortened to fit the field, with a warning. A long answer in a multiline box with no character limit of its own is shortened to what the box shows, at least 1,000 and at most 2,000 characters. Numbers typed with dashes or a letter prefix, such as
123-45-6789orA-987654321, go into number boxes as digits only. - Letters outside the font are handled for you. Courier Bold covers English and Western European letters such as é, ñ, and ü. Other accented letters are turned into plain ones with a warning, so Nguyễn is written Nguyen. Letters that have no plain form, such as Chinese or Arabic script, leave the field blank with a warning: type a version with plain letters.
- Empty answers fill blank. A field mapped to an answer the client left empty is written blank, even if the PDF had text in that field.
- Fields nothing fills stay blank.
Work with a filled copy
A filled copy opens with the same four tabs: Details, Versions, Fields, and Activities. Its Fields tab lists what was written into each field.
Filling from
At the top:
- Filling from links to the matter or lead, and names the PDF form with its form number and edition.
- Form answers from switches between Latest answers and one submission. Changing it fills the copy again straight away: Copy filled from the chosen answers.
- Auto-refresh: "Fill this copy again when the answers change." It is on for a new copy. See When answers change.
- Refill now fills the copy again from the record. It keeps the values you typed.
- Download flattened PDF. See Download a flattened PDF.
The field list
A status line sums up the copy, for example Filled 298 of 312, Missing 14, 2 warnings. Show filters the list: Mapped fields (the default), Missing, Entered, Warnings, or All fields. Search with Search fields.
Each row shows the field's label, a tag, and its value, or Not filled, or Checked or Not checked for a box:
| Tag | What it means |
|---|---|
| Filled | Esqase filled the value from the record |
| Entered | Someone typed this value on the copy. Refills keep it |
| Missing | Something should fill this field, but the record has no value for it |
| Warning | The value was written with a change, or could not be written. The icon button on the row says why |
The warnings are:
- "Shortened to fit the field."
- "Some characters were replaced with plain letters."
- "Some characters cannot be written in this PDF, so the field was left blank. Enter a version with plain letters."
- "This field is no longer in the PDF."
- "The answer does not match a choice in this field."
- "This field is read only in the PDF."
- "Signature fields are left for a handwritten signature."
Type a value
- Click a row's value.
- Type the value (up to 1,000 characters, or less when the field itself holds less), then press Enter to save or Escape to cancel.
The value is tagged Entered, and the copy is filled again with it: Value saved and the copy was filled again. Refills never replace it. To go back to the record's value, click Use record value on the row.
To type into a field that nothing maps, set Show to All fields first.
Fill from records appears once a copy has typed values. It replaces every typed value with the record's: confirm with Fill from records in the "Fill every field from the record?" dialog.
Refill and the changed banner
When the record's answers changed since the copy was last filled, for example while Auto-refresh is off, a banner reads "The record's answers changed since this copy was filled." Click Refill on it, or Refill now. The banner shows only to members with View access for Forms.
Changes to the PDF form's map count too. Moving or resizing a box you placed, changing a check box's export value, or changing a format so the written text differs marks the copy as changed, so the banner shows and a refill files a new version even when no answer changed. Changing a field's label does not.
- A refill files a new version of the copy only when a value actually changed. The older versions stay on the Versions tab.
- When nothing changed, you see This copy is already up to date, and no version is added.
- A refill cancels a signature request on the copy that is still a draft. Refill now also restarts an approval review that is under way, as uploading a new version does.
Locked copies
A copy is not filled again, whether you click Refill now or the client's answers change, while it is:
- Out for signature: "This copy is out for signature. It stays as it is until the request is done."
- In the Trash: "This copy is in the trash. Restore it to fill it again."
- On hold, under an archived matter: "This copy is on hold, so it is not filled again."
You can still read a locked copy, turn Auto-refresh on or off, and download a flattened PDF.
Download a flattened PDF
The copy itself keeps its fields editable, so you can still adjust an answer in a PDF reader. For filing, click Download flattened PDF: you get I-130 - Marisol Alvarez (flattened).pdf, with the answers fixed into the pages and nothing left to edit. It works on locked copies too.
The copy is a standard fillable PDF. Esqase removes the encryption, the Adobe-only form layer, and the Adobe Reader usage rights that USCIS forms carry, so a PDF reader shows the answers Esqase wrote rather than the blank form's own data.
Tip: Make corrections on the copy's Fields tab rather than in another program. A refill builds the copy again from the PDF form and the values on the Fields tab, so edits made elsewhere do not carry into the next version.
When answers change
With Auto-refresh on, a copy keeps up with the client's answers by itself.
-
What starts it. A submission on the lead or matter is completed: the client sends a form back through a form link, the client portal, or an intake page, or a member fills a form in for them and clicks Submit form.
-
Which copies. Every copy on that lead or matter with Auto-refresh on that fills from Latest answers, and every copy that fills from that particular submission. Copies on the matter a lead was converted into count too.
-
What happens. Esqase fills each copy again, on behalf of the member who created it. When a value changed, it files a new version, keeps the values someone typed, and tells that member with a Filled PDF form updated notification: "I-130 - Marisol Alvarez.pdf was refilled with the latest answers." Clicking it opens the copy's Fields tab.
-
What it skips. Locked copies stay as they are. These copies are skipped too, but Refill now still works on them by hand:
- copies with Auto-refresh off;
- copies whose creator is no longer an active member with Update access for Documents and View access for Forms;
- copies that are under review, or were approved or signed, since they were last filled;
- copies holding court, invoice, event, or personal injury placeholder values.
Nothing happens when no value changed.
-
Archiving, restoring, or cancelling a submission does not refresh copies.
Fill a PDF form from a workflow
A workflow Document step can fill a PDF form instead of creating a document from a template. In the step, open Template and pick the PDF form under PDF forms. The step then fills a copy on the lead or matter, from the answers Fill values from names, and can wait for review when fields are still empty. See Document step.
The PDF forms list
In the sidebar, click Forms, then the PDF forms tab. It lists every PDF form you set up, with Name, Code, Edition, Linked form, Mapped (for example 312 of 450), and Last updated. Search with Search PDF forms.
- Open opens the PDF form on its Fields tab.
- Archive sets a PDF form aside: "The PDF stays in Documents and its filled copies stay as they are. Set it up again to bring the fields back." Click Archive to confirm, and you see PDF form archived.
The tab appears for members with View access for Documents, and Archive for members who can set up PDF forms.
A new edition of a form
When the agency publishes a new edition:
- Download the new blank PDF and upload it to Documents as a new file.
- Set it up as a PDF form, link the same form, and click Map by name. Most fields carry over by name. Map the rest, and save.
- Archive the old PDF form from the PDF forms tab when you no longer need it.
Copies already filled from the old edition stay as they are. Fill a new copy from the new edition for anything you have not filed yet.
Note: Uploading the new edition as a new version of the old PDF form does not update its fields. The Fields tab says "A newer version of this PDF was uploaded. The fields here come from the version you set up.", and copies keep filling the version you set up.
What Esqase never does
- It never fills a signature field. Signature fields and buttons are never filled and cannot be mapped. Print the form and sign it by hand.
- It never changes the edition line, the page numbers, the page size, or the barcode at the foot of each page. Read-only fields stay as the PDF has them, except empty fields that only Adobe's form layer unlocks, which Esqase fills like any other field.
- It never changes the PDF form itself. Every fill makes or updates a copy. The blank PDF stays blank.
- It never sends client answers to AI. The analysis reads only the blank PDF.
- It never replaces a value you typed on a copy, unless you click Fill from records.
- It never fills a locked copy that is out for signature, in the Trash, or under an archived matter.
- It does not set up eSignatures from a PDF form. On a PDF form and its copies the Fields tab takes the place of Signatures, which shows only on a copy that already has a signature request.
Filing USCIS forms
Esqase prepares the form. You still file it with USCIS yourself, by mail or through a myUSCIS account, and USCIS decides whether to accept it. Before you file, read the form's own instructions on its page at uscis.gov. These are the USCIS rules that matter most for a form Esqase filled:
- Typed answers. "For typewritten responses, use font Courier New, size 10, bold." (Tips for Filing Forms by Mail) Esqase writes typed answers in Courier Bold at the field's own size, 10 point on USCIS forms. If you add anything by hand, USCIS says: "If you hand write your answers, use black ink."
- Edition date and page numbers. "Ensure that the form edition date and page numbers are visible at the bottom of the printed pages" (same page), and send all pages from the same edition. Esqase leaves both on every page. Print every page of the flattened PDF.
- Current edition. "Only use the current form edition when you are downloading and completing a form." (same page) Check the edition shown on your PDF form against the form's page at uscis.gov, for example Form I-130, and set up the new edition when it changes. See A new edition of a form.
- Paper. "All forms and supporting documents submitted must be single-sided, standard 8½ x 11-inch letter-size pages." (same page) USCIS forms are letter size, and Esqase keeps the page size. Print single-sided.
- Signatures. USCIS says "you must write your signature by hand before submitting your form" and "We will not accept a stamped or typewritten name in place of a signature." (Filing Guidance) Esqase leaves signature fields empty. Print the flattened PDF and have each person sign in ink.
- Filing online. For forms that myUSCIS takes as an upload, "This option allows you to upload a completed PDF of your form and related evidence." An attorney or accredited representative also submits Form G-28, and must make sure the client's valid wet-ink signature appears on the PDF before uploading it. (Forms Available to File Online) Print the flattened PDF, have it signed, scan it, and upload the signed scan.

Notifications
- PDF form analysis finished: an analysis you started is done. The notification reads PDF form ready: and the PDF form's name, with "The AI analysis is ready to review on the Fields tab.", or PDF form analysis failed: and the name, with the reason.
- Filled PDF form updated: a copy you created was filled again because the answers changed.
Both open the PDF form's or the copy's Fields tab. Turn either off under Settings > Notifications. See Notifications.
Common questions
Why is a field on my copy empty? Check its tag. Missing means the record has no value yet: the client has not answered, the answer is on a submission you cannot see, or the form has not been sent back. A field that is not listed under Mapped fields has nothing mapped to it: map it on the PDF form, or set Show to All fields and type a value on the copy.
Will a refill undo what I typed? No. Typed values are tagged Entered and every refill keeps them. Only Fill from records replaces them, and it asks first.
Can the client sign the copy through Esqase? Signature requests are not set up from a PDF form's copies, and USCIS requires a handwritten signature. Print the flattened PDF and have it signed in ink.
What about a client whose name has letters the form cannot print? Esqase writes the closest plain letters and flags the field with a warning. Check the spelling the client uses on their official documents, and type it on the copy if it should differ.
Does Esqase file the form with USCIS? No. You file it yourself, by mail or through myUSCIS.
