Feeds
Feeds is your firm's internal noticeboard. It sits on your dashboard Overview, filling the right-hand column, and holds short posts that everyone in the firm can read: a welcome for a new hire, a reminder that the office closes early on Friday, a photo from a court win, the new filing checklist as a PDF. Colleagues react with an emoji and reply in comments, and an @mention in a comment reaches the person by name.
Feeds is internal. Only members of your firm see it. Clients never do, and nothing posted here appears on a matter, a lead, an invoice, or in anything a client can open.
Before you begin
- Where it lives. Feeds is a card on the Overview page. The page below the billing snapshot is two equal columns: your work cards and firm lists on the left, Feeds on its own on the right. On a narrower screen the two columns stack and Feeds moves to the bottom. There is no Feeds item in the sidebar. A single post also has its own page, which you reach by clicking a notification or a row in your Mentions card.
- Permissions. Access is controlled by a Feeds row on your role, in the Communications group of the permission grid. See Who can post, edit, and delete.
- The feed belongs to the firm you are working in. If you belong to more than one firm, you see the feed of the firm shown at the top of the sidebar. Switch firms to see another firm's feed.
- Posts are plain text, plus files. There is no formatting toolbar, but a web address you paste becomes a working link, a link to something inside Esqase becomes a card, and you can attach files of any kind.
Who can post, edit, and delete
Your role's Feeds row has the usual four levels, and each one means something specific here:

Out of the box:
- Firm owners can do everything.
- Administrators have all four levels, so they can post, pin, edit, and delete anything.
- Attorneys and staff have View, so they can read, react, and comment, but not post.
- Any other role starts at View as well.
If you want your attorneys to post, ask a firm owner or administrator to tick Create on the Feeds row of that role. See Roles and permissions.
Note: Editing, pinning, and deleting are deliberately firm-wide rather than "your own posts only". A role with Update can fix anybody's typo and pin anybody's announcement, and a role with Delete can take down anything that should not be there. If you do not want that, leave those two levels off and keep the role on View and Create. Comments work the other way: with View you can always edit and delete your own comments, and never anyone else's.
Important: Without View on Feeds, the card does not appear on your Overview at all, and a link to a single post shows a "not found" page. That is the permission, not a missing post.
Read the feed
The Feeds card shows the newest posts first, five to a page.
- Open Overview from the top of the sidebar.
- Scroll to the Feeds card.
- Each post shows the author's photo and name, how long ago it was posted, the text, and any photos or files. A post that has been changed since it was published reads Edited after the time, and a pinned post carries a Pinned badge.
- Use the previous and next arrows at the bottom of the card to move between pages. The position beside them reads Page 1 of 3. When every post fits on one page, that row is not shown at all.
- Click the refresh button at the top-right of the card to pull the latest posts.
The first time your firm uses Feeds, instead of an empty list the card shows a No posts yet panel. It explains that you can share firm-wide announcements and updates with your team, and that everyone with access can react and comment. If your role can create posts, the panel carries a Create first post button, which opens the same New post dialog as the button in the toolbar. A Learn more link under it opens this page in a new tab. Once at least one post exists, the normal list appears. If you have filters set and nothing matches them, the card reads No posts match these filters. instead.
A long post is shortened to a few lines with a Show more link under it. Click it to read the rest, and Show less to fold it back.
Note: New posts, edits, and reactions from your colleagues arrive when you refresh the card, change a page or a filter, or reload the page. Comments are the exception: while you have a post's comments open, new comments appear on their own.
Filter and sort the feed
Three controls sit in the card's toolbar, to the left of the refresh button. They work on the whole feed, not only the page you are looking at.
- Any date opens a calendar. Pick a first and a last day to show only the posts published between them, counted in your firm's time zone. The button then reads the range you picked, for example Sep 01, 2026 - Sep 18, 2026.
- Sort sets the order. Newest is the default and puts the most recent post first. Pinned first lifts every pinned post to the top, then carries on by date. Sort is a single choice, so one of the two is always in force and there is nothing to clear.
- Show narrows the list and accepts both options at once. Pinned leaves only pinned posts. With attachments leaves only posts that carry a photo or a file. Open the list and click Clear filters at the bottom to go back to everything.
Changing any of the three takes you back to the first page.
Write a post
You need Create access for Feeds.
A writing box sits at the top of the card, under the toolbar. It is the quickest way to post.
- Click the box, which reads Share an update with your firm, and type your message. A post can be up to 5,000 characters, and as you approach the limit a counter appears and turns red if you go over.
- To attach something, click the paperclip, or drag files onto the box, or paste them straight in. See Attach files to a post.
- To publish it later instead of now, click the clock and set a date and a time. See Schedule a post for later.
- Press Enter, or click the send button on the right, to publish. Use Shift and Enter together for a new line inside the post.
- You see a Post published confirmation and your post appears at the top of the feed. A scheduled one confirms with Post scheduled.
The send button stays greyed out until the post has either some text or at least one finished attachment, and while an attachment is still uploading.
Writing a longer post
The New post button at the top of the card opens a dialog with a bigger writing area, an Add files button, and the schedule fields laid out in full. It does exactly what the box does, and is the easier place to write something long or to set a schedule while you draft.
- Click New post.
- The dialog opens with the note Everyone in your firm will see this post.
- Type your message, add files, and set a publish date and time if you want one.
- Click Post. The button reads Posting... while it saves.
To abandon the post, click Cancel or close the dialog. Anything you typed is discarded, and so are any files you uploaded while the dialog was open.
Attach files to a post
A post carries up to 10 files of 10 MB or less each, and they can be of any ordinary kind: photos, PDFs, Word documents, spreadsheets, presentations, plain text, CSV, audio, and video.
- Click the paperclip in the writing box, or Add files in the New post dialog. You can also drag files onto the box, where it reads Drop files to attach, or paste a file you have copied.
- Each file appears as a small card and starts uploading right away. The card reads Uploading 40%, then Checking file, and finally its size once it is ready.
- To drop one, click the remove button on its card. If an upload fails, the card says so and offers a retry button.
- Post when every card shows a size.
A few kinds of file are turned away, for safety: web pages and scripts, SVG images, program files, and zip and other archives. If you pick one, or a file that is too large, it is not added and Esqase says That file type cannot be shared in the feed or Files must be 10 MB or smaller. Once you have ten files on the post, adding more says You can add up to 10 files to a post.
Tip: To share a zip or an installer, put it in Documents and paste the link into your post. The link turns into a card anyone with access can open.
Photos in a post
Images are shown in the post itself rather than as files to download. How they are laid out depends on how many there are:
- One photo fills the width of the post.
- Two photos sit side by side.
- Three or more become a grid of square tiles. At most six are shown, and the sixth carries a +N badge counting the photos behind it.
Click any photo to open it full size. In that view, use the Previous photo and Next photo buttons or your left and right arrow keys to move through the post's photos, with a 2 of 5 style counter between them. Press Escape or click the close button to close it.
Files in a post
Everything that is not an image appears under the text as a card with its name, its kind, and its size, for example PDF ยท 480 KB. Click the card to download the file. Nothing is shared outside your firm: only members who can view Feeds can open these.
Links and record cards
Web addresses in a post or a comment become working links.
- A link to another site opens in a new tab.
- A link to something inside Esqase stays in the app, and Esqase adds a card under the text showing what it points at: a matter, a contact, a lead, an invoice, an account, a document, a task, a note, an event, or a workflow. The card shows the record's name and, where there is one, a short detail line.
- At most five record cards are added to any one post or comment. Extra links still work as links.
- If the record has been deleted, or your role cannot open it, the card reads Not available. It is never a way around a permission: the card tells you nothing beyond the kind of record.
This is the same behaviour as Messages, so a link you paste behaves the same way wherever you write it.
Pin a post
Pinning marks a post as worth keeping at hand: the firm's holiday hours, the current filing checklist, the notice everyone needs to read. You need Update access for Feeds, and with it you can pin any post, not only your own.
- Find the post and click its actions button (the three dots at the top-right of the post).
- Click Pin. You see a Post pinned confirmation and the post takes a Pinned badge next to its time.
- To take it down, open the same menu and click Unpin. You see Post unpinned.
A pinned post still sits in date order under Sort > Newest. Choose Sort > Pinned first to lift every pinned post to the top of the feed, or Show > Pinned to see only those. There is no limit on how many posts you pin, so unpin what is no longer current.
A post that is still scheduled cannot be pinned. Pin it once it has published.
Schedule a post for later
A post can be written now and published at a time you choose. You need Create access to schedule a new post.
- Write the post as usual, then open the schedule. In the writing box, click the clock beside the paperclip. In the New post dialog, the same Publish date and Publish time fields sit at the bottom of the form.
- Pick the date and the time. Times are read in your firm's time zone, and under the fields Esqase confirms what that means, for example Publishes Sep 24, 2026, 9:00 AM, Central Daylight Time. Leaving both empty publishes immediately, which is the default, and the note under them says so.
- Once a valid time is set, the writing box shows Scheduled for Sep 24, 2026, 9:00 AM under it, with a Clear button to drop the schedule and publish now instead. The dialog has a Clear schedule button that does the same.
- Send the post the way you normally would. You see a Post scheduled confirmation instead of Post published.
Esqase checks the time as you set it: a moment in the past is refused with Choose a publish time in the future, and anything more than a year out with Choose a publish time within the next year.
What other members see before it publishes
A scheduled post is not in the feed for the firm. Only members who can create or update posts see it, so the author can find it again, and for them it sits at the top of the feed carrying a Scheduled for Sep 24, 2026, 9:00 AM badge, so nobody mistakes it for something already published. Until it publishes:
- nobody is notified about it,
- it cannot be reacted to or commented on,
- it cannot be pinned.
At the chosen time Esqase publishes it, usually within a minute, and only then does the firm get the notification described in How people are told.
Changing or cancelling a schedule
Open the post's actions menu and click Edit. The dialog opens on the post you wrote, with its publish date and time filled in.
- Change the date or time to move it.
- Click Clear schedule, then save, to publish it straight away.
- Edit the text or the files and save without touching the schedule, and it stays scheduled for the same moment.
- Click Delete in the actions menu to drop it altogether.
If the publish time passes while you have the post open, the field reads This publish time has passed. The post publishes shortly. Your changes still save, and the post goes out on the next sweep.
Edit a post
You need Update access for Feeds. With it you can edit any post, not only your own.
- Find the post in the feed, or open its own page.
- Click the post's actions button, then click Edit.
- The Edit post dialog opens on the current text and files, with the note Update the text and files of this post.
- Change the text, remove files you no longer want, and add new ones the same way as when posting.
- Click Save. The button reads Saving... while it works, then you see a Post updated confirmation.
The post now reads Edited after its time, so nobody is misled about what was originally said. Editing a published post does not notify anyone again.
Delete a post
You need Delete access for Feeds. With it you can delete any post, not only your own.
- Click the post's actions button, then click Delete.
- The Delete post? confirmation warns that This post will be removed from the feed for everyone. This can't be undone.
- Click Delete post to confirm, or Cancel to keep it.
- You see a Post deleted confirmation and the post, its files, its reactions, and its comments all disappear from the feed.
Deleting from the post's own page takes you back to Overview.
Important: There is no undo and no archive to restore from. If a post only needs a correction, edit it instead.
React to a post
Reactions are the quick way to acknowledge a post without writing a comment. Anyone with View access can react.
- Click the smiling-face button under a post.
- Pick an emoji from the six on offer: thumbs up, heart, laughing, surprised, sad, and thank you.
- Your reaction appears as a chip under the post, with a count of how many people chose that emoji.
- Click a chip to add your own reaction to it, or click it again to take yours back. Picking the same emoji from the picker twice does the same thing.
Comment on a post
Comments turn a post into a conversation. Anyone with View access can comment.
- Click Comment under the post (it reads 3 comments once there are some).
- The conversation opens under the post. Write in the box, which reads Write a comment... use @ to mention, and click the send button.
- Hover a comment for its controls: react with an emoji, reply to quote it, and edit or delete it if it is yours.
- Click Hide comments to fold the conversation away again.
A post with no comments yet reads No comments yet. Start the discussion.
While the conversation is open, comments other people add appear on their own, without a refresh. Links you paste in a comment behave exactly as they do in a post: see Links and record cards.
Mention someone in a comment
Type @ in a comment and start typing a name to pick a colleague from the list. Their name is inserted into your comment, and when you send it they are notified by name.
The list only offers colleagues whose role can see Feeds, so a mention never sends somebody to a post they cannot open. If you cannot find a name, that person's role is missing View on the Feeds row.
How people are told
Three things can reach your colleagues, and all of them respect the recipient's own notification settings:
- When a post is published, everyone in the firm who can view Feeds gets New post in Feeds, with the first part of the post as the detail. The author is never notified about their own post. A scheduled post sends this at its publish time, not when it was written.
- Everyone you @mentioned in a comment gets Mentioned in a feed comment.
- The post's author, and anyone who has already commented on the post, get Comment on my feed post. People you mentioned get the mention instead, never both.
- You are never notified about your own comment.
Clicking any of them opens the post's own page, with a comment notification scrolled to that comment. To change how these reach you, open Settings > Notifications and use the New post in Feeds, Comment on my feed post, and Mentioned in a feed comment rows. See Notifications.
Open a single post
A post has its own page, headed Feeds with an Overview link above it to get back. You land there when you:
- click a Feeds notification from your bell, your email, or a desktop alert,
- click a feed row in the Mentions card on your Overview.
The page shows that one post with its comments already open, and highlights the comment you were sent to. Everything you can do in the card you can do here: react, comment, pin, edit, and delete.
If the post has been deleted, or your role cannot view Feeds, the page reads "not found" instead. A post that is still scheduled does the same for anyone who cannot create or update posts.
Common questions
Can clients see Feeds? No. The feed is internal to your firm's members. Clients have no access to it, from the portal or anywhere else.
Can I post to one matter's team only? No. A post goes to the whole firm. For something tied to a case, use a comment on the matter or a message instead.
Can I attach a document or a PDF? Yes. A post takes files of any ordinary kind, up to ten of them at 10 MB each. Photos are shown in the post; everything else appears as a card to download. Archives such as zip files are the exception: share those through Documents and paste the link.
Why can I not edit my own post? Editing is controlled by Update on the Feeds row, and that level is off for attorneys and staff by default. Ask a firm owner or administrator to turn it on.
Who can pin? Anyone whose role has Update on Feeds, which is owners and administrators by default.
Someone posted something that should not be there. Anyone with Delete on Feeds (owners and administrators by default) can remove it.
Troubleshooting
I do not see the Feeds card on my Overview. Your role does not have View on the Feeds row. Ask a firm owner or administrator to turn it on. See Roles and permissions.
I do not see the writing box or the New post button. Both need Create on the Feeds row. Without it you can read, react, and comment.
A file will not upload. Check the kind and the size: 10 MB or less, and not a web page, a script, a program, or an archive. Remove the card and try again, or post without it.
My scheduled post has not appeared. Check the time on its Scheduled for badge, and remember it is read in your firm's time zone. Esqase publishes due posts about once a minute, so a post is live within a minute or so of its time. If you cannot see the post at all, your role is missing Create and Update, which is what makes a scheduled post visible before it publishes.
A colleague's new post is not showing. Click the refresh button at the top-right of the card, or reload the page. Check your filters too: a date range or a Show choice can hide a new post. The feed does not update itself in the background; only an open comment conversation does.
